Collect receipts through the team upload portal
Create a scoped upload link and guide field staff to submit receipt drafts without a dashboard login.

The Team Upload Portal is a separate link-based intake for field staff; it does not grant dashboard Receipts access. A company administrator manages links and team names. Anyone who holds an active link can see active names and submit receipts to its selected company file, so share links carefully. Choosing a name records attribution only; it does not verify identity.
Administrator: prepare a link
- Open Settings → Team Uploads. Under Team Names, type a display name and select Add Name for each active person. These names are not user accounts. Rename, Deactivate/Reactivate and Remove manage the list shown in the portal.
- Under Upload Links, set Destination Company to the intended company file and Expires In to 7 Days, 30 Days, 90 Days or Never expires. Select Generate Link, then Copy the generated link and send it only to the intended team. A permanent link remains valid until revoked.
- Review Active, Expired or Revoked link status. Select Revoke to stop further use; in-progress uploads using a revoked link can fail. A revoked link record can subsequently be permanently deleted without removing already submitted receipts. If a legacy link cannot be copied, generate a new one rather than guessing its URL.
Team member: submit
- Open the link supplied by the administrator. Confirm the displayed Uploading to company. If the page says Access Denied, ask for a valid link; do not try another company's link.
- Select 1. Select your name. This name becomes locked while uploads are running.
- Under 2. Add receipts, choose Choose Files, drop actual files into the area, or use Camera for one photo. Files may be JPEG/JPG, PNG, WebP, GIF, HEIC, HEIF or PDF, under 20 MB each; HEIC/HEIF conversion may be attempted. Wait in Uploads for Uploaded successfully. For an error, read its message and choose Retry after correcting the cause; pending/error items can be removed from the queue.
- Tell a colleague with full Receipts access to find and code the resulting drafts in Receipt History, check their source documents and decide whether to push. Portal uploads do not post transactions to Reckon.
Example: an administrator makes a 7 Days link for a fictional company file and a staff member uploads a 27-09-2026 fuel receipt for AUD 86.40. The portal says Uploaded successfully; the reviewer then checks the document and sets the correct cheque or credit-card payment and expense coding. The selected team name alone is not proof of who made the purchase.
Troubleshooting: if a file is rejected, check its format and size or export HEIC as JPEG. A missing name list or revoked/expired link requires administrator action. If a retry follows a connection interruption, have a full-access reviewer check Receipt History for an existing draft before submitting a second copy.
