Code and split bill expenses

Allocate a bill total among expense accounts, tax codes and classes and check GST.

Use expense lines when a supplier invoice covers more than one account, GST treatment or class. Have Bills access, the correct company/file and the invoice in front of you. Reckon account, tax-code and class choices depend on your connection and the selected file. Coding suggestions and AI extraction are starting points, not authorisation to post.

  1. Open Bills → Enter Bill, select Supplier / Vendor and enter the bill's Amount Due. If editing an existing draft instead, open Bills → Bill History, expand its row and select Edit.
  2. In the expense lines, choose an expense Account and Tax code for each line. Enter its Amount; enter a Line memo and Class when relevant. The line memo is distinct from the bill-wide Memo. Available tax codes and classes come from the selected Reckon file when loaded; verify their meaning with your accountant rather than guessing GST treatment.
  3. Select Add line to split the expense; use Remove line on an unwanted line. Make the displayed line total equal Amount Due. The editor shows Ex-GST and GST summaries: check these against the actual invoice instead of treating them as an independent tax assessment.
  4. Save with Save Draft Only / Save Draft on Enter Bill, or Save changes when editing in history. Review before pushing. Every line must have an account and numeric amount and the combined total must match the bill total.

Example: A fictional invoice for AUD 330.00 might have an AUD 220.00 office-supplies line and an AUD 110.00 equipment-maintenance line. Assign each to its correct expense account, tax code and optional class; verify the GST summary against the supplier's tax invoice. Do not invent a tax code simply because two lines add to AUD 330.00.
