Email receipts for review
Set up a private receipt destination and review incoming attachments as drafts.

Email intake is an alternative to uploading on the entry page. You need full Receipts access and a selected company and file in Connected Files; upload-only permission is not sufficient. Inbound mail must be configured for your organisation. Email receipt attachments become drafts for review; approval does not automatically push anything to Reckon.
- Open Receipts → Email Receipts. Check Company group and the selected destination file before sharing its address. If more than one file is connected, select the correct file in Connected Files. Intake address shows Configured with Copy address only when setup is available; Setup incomplete displays issues to resolve.
- In Approved senders, check which mailbox is permitted. Your verified login address can appear as Eligible automatically. For another address you use, enter it under Sender email, choose Send code, then enter the Code from email beside that address and select Verify. A company administrator can choose Shared mailbox and Approve mailbox without an emailed code. Remove revokes a sender for future drafts but keeps existing drafts. Do not send from an unapproved address and assume it will import automatically.
- From an authorised sender, email up to 10 attachments, each document up to 20 MB, to the private address shown for the intended file. Use supported PDF, JPEG, PNG, GIF or WebP files as attachments, not inline email-body images. Remove unnecessary attachments, including signature images, because the count limit applies to the message's attachment list. Never publish that address or use one copied from another company.
- Open Receipts → Receipt History for the selected file and review its email-import section. A Pending email is not yet a receipt draft. A held import may show Approve or Reject to an authorised reviewer; approval asks for confirmation and creates drafts under the reviewer's authority without trusting the sender for future messages. Where available, Retry reprocesses an import and retains drafts already created. Delete removes the intake-review record, not its completed drafts or any Reckon transaction.
- Once a draft appears in the receipt list, open its source, correct extraction and coding, save, and only then decide whether to push to Reckon Accounts Hosted.
Example: an approved fictional field mailbox sends two receipt images dated 25-09-2026, one for AUD 14.30 and another for AUD 73.80. The reviewer confirms both documents belong to the displayed company file, checks the import status, and then separately codes the resulting drafts. The email itself is not evidence that either purchase has posted.
Expected result: accepted attachments produce receipt drafts, not posted cheques or card charges. A held or failed email can remain in intake review pending action. Configured only confirms server configuration, not that DNS or delivery works; send a test and check Receipt History.
Troubleshooting: if no destination address appears, inspect Setup incomplete and contact your administrator. If an email is held, ask an authorised reviewer to inspect the sender and attachments; approving it does not whitelist future mail. If the import fails, read its attachment error, correct the file or sender problem, then use Retry only when the import offers it. See Email intake for common sender and review guidance.
