Understand access and receipt upload-only permissions

Learn why tools may be hidden and what receipt upload-only users can and cannot do.

BookFlo checks both your feature grants and the company you may access. A sidebar link appearing for a colleague does not mean your account is authorised to use it. Do not share sign-ins to work around missing access.

Check your access

  1. Sign in and inspect the sidebar. Bills, Receipts, Bank Feed and Rules appear according to your account's feature access. Under Receipts, each submenu item is filtered separately.
  2. Choose an authorised company. For workflows that need a particular file, select that file in the workflow or Connected Files.
  3. If a page is missing or redirects away, ask your company administrator to check your feature grants and company access. A company administrator can open Companies to manage connections and company-group sharing; regular users cannot.

Receipt upload-only is not full Receipts access

A user granted Bulk Upload for receipts but not full Receipts can open the receipt Bulk Upload page to submit files for draft creation. That grant does not give access to Enter Receipt, Email Receipts, Receipt History, receipt editing, downloading, or pushing receipts. Extraction and bulk-draft submission are permitted on the backend for either full receipts access or receipt upload-only access; listing, editing and pushing require full receipts access. A user with full receipts access can also use bulk upload unless specifically denied the separate bulk-upload feature.

For example, if a team member uploads a fictional AUD 42.90 parking receipt dated 22-09-2026 via Receipts → Bulk Upload, a colleague with full Receipts access must review and push the resulting draft. The uploader must not assume they can open Receipt History to complete it.

Important: Company sharing and feature grants are separate. Having access to a company does not automatically turn on every tool; access to a tool does not authorise every company file.
