Receive supplier bills by email

Locate the correct file's bill address, approve senders and review imported drafts.

Email intake turns eligible PDF attachments into draft bills, not automatically pushed Reckon bills. You need Bills access, a company selected in Connected Files, and a configured destination for its selected Reckon file. Do not publish or reuse another company's private intake address.   1. Open Bills → Email Bills. Confirm the Company group banner and the selected file (“Bills go to …”). If multiple files exist, select the intended file in Connected Files; its intake address, senders and imports are file-specific.
  2. In Intake address for [file], verify Configured and any setup warnings. Select Copy address, then use that address in your mail client. Configured indicates server configuration, not a guarantee that external mail delivery works: test delivery before relying on it. If Setup incomplete appears, follow the displayed setup issues; no address is shown until ready.
  3. Use Approved senders to check which sender can submit. The account's primary sender is displayed; adding a personal sender involves Send code and entering the code received by email, while a shared mailbox may show Approve mailbox. Only approve a mailbox you control. Mail from an unauthorised sender may be held or rejected.
  4. Send a message with at most 10 attachments, using bill PDF attachments only, each up to 20 MB. Remove unnecessary signature images or other files, which can count towards the message limit. Each accepted PDF becomes one draft bill. Do not assume a combined PDF will be split into multiple bills: inspect what was actually created. Refresh on Email Bills refreshes configuration; check Bill History for incoming drafts and intake review.
  5. Open Bills → Bill History to review emailed bills and the Email intake review panel. A held import may offer Approve or Reject; approving creates drafts under your authority but does not trust the sender for future mail. Retry requeues an eligible failed import; successfully created drafts are retained. Delete removes an eligible import from intake review, not its existing drafts. Check attachment-level errors and completion state before retrying, then inspect each new draft and push separately.

Example: Send a fictional AUD 187.00 supplier invoice PDF dated 21-09-2026 from an approved mailbox to the address displayed for the selected company file. A successful import yields a draft to check in Bill History; it does not create a Reckon bill.

Troubleshooting: If you see Email imports are unavailable right now, choose Try again; for an access error contact the company administrator. If the selected file has no destination, check Connected Files. If mail is not received, test delivery and setup, sender authorisation and PDF size/type.
